The Health and Safety Administrative Assistant will report to the Health and Safety Superintendent and is responsible for performing the following duties.


  • Provide administrative support to the HSE&S department.
  • Assist with record management and development of departmental reports
  • Support plant operations through scanning and filing critical process data
  • Order office supplies as needed
  • Computer Based Training coordination (creation of courses and maintenance of program)
  • Assist in maintaining SharePoint sites for department
  • Update and coordinate work instructions, JSA's and other documents for the HSE&S department
  • Provide backup support for other administrative assistants in their absence (i.e. SAFE requests)
  • Assistance with meeting planning and set-ups; co-administrative online conference room scheduling (Outlook)
  • Data Entry for safety and emergency response training into Computer Based Training database and other department databases
  • Creation of purchase requisitions and CD vouchers
  • Service acceptance of departmental invoices
  • Schedule medical department exams, coordinate mammogram program, assist with licensing of medical department
  • Typing, copying, faxing, filing, and miscellaneous other duties as needed


Skills, Experience, and Qualifications:

  • High School Diploma
  • Minimum of 3 years administrative assistant experience
  • Proficient with Microsoft Office (Word, Excel, Access and PowerPoint)
  • Aptitude to learn new technology quickly
  • Ability to learn quickly
  • Possess excellent organizational skills
  • Possess good communication skills (verbal and written)
  • Willing to take on additional responsibilities
  • Ability to take initiative and work with minimal supervision
  • Ability to handle multiple projects and prioritize
  • Resourceful and flexible in accomplishing tasks and solving problems
  • Ability to maintain confidentiality of all documents processed and handled as well as issues discussed and worked on in the department
  • Must be a team player

Must have a positive attitude

Considered A Plus:

  • Bachelors degree in Business Administrative or related field
  • Experience supporting medical office
  • Experience with SAP
  • Experience working in a manufacturing environment
