Job Description

Our client, a manufacturer of pneumatic tools, in Willoughby OH, is seeking a motivated individual for their Administrative Assistant position!

Temp-to-Hire
1st Shift  7:30a-4:30p (Flex Hours, 8 hrs./day)
$25-$30+/hr., depending upon hours and skills.

Job Description:
Answer telephone, maintain smooth flow of customer orders, and assist in smooth functioning of front office by performing the duties below

Duties and Responsibilities:
  • Answer phone and door, directing callers to correct individuals or departments.
  • Take orders from customers by phone, fax and email, ensuring that all pertinent information is included to enable company to provide correct tools and parts to customer. Inform customers of unit pricing, discounts, anticipated shipping dates, and any other information needed by the customer.
  • Input orders into computer taken by self and others, ensuring that all pertinent information is included to enable company to provide correct tools and parts to customer.
  • Provide correct pricing of parts and tools to customers in relation to their discount code as established by sales department.
  • Generate packing lists in a timely manner so that orders can be processed in a timely manner.
  • Route orders to correct departments or individuals
  • Generate accounts receivable invoices for shipped invoices, insuring that pricing is correct, and that inventory is maintained via the computer inventory control.
  • Generate correct paperwork for international orders as required for customs. Arrange for alternate methods of shipping of orders as needed.
  • Assist with shipping and receiving, loading, unloading and deliveries as needed.
  • Process incoming checks and other payments against invoices to insure correct credit in computerized billing system.
  • Generate deposits of incoming payments, and take them to the bank for deposit as needed.
  • Process returned goods to insure correct credits and correct inventory control.
  • Update information in the computer concerning customers, parts, tools and other areas as necessary.
  • File hard copies of orders and invoices correctly and in a timely manner.
  • At the end of each year, place year old accounts payables and accounts receivable into archives, and generate new folders for next years filing system.
  • Assist in maintaining accounts payable, including invoice entry, check generation and other tasks as needed.
  • Balance accounts payable checkbook as needed.
  • Assist in collection of past due accounts receivables as necessary.
  • Ascertain credit ratings of customers.
  • Order office and other supplies as needed to prevent shortages.
  • Maintain fax, printer, and copy machines as needed to insure their uninterrupted functioning.
  • Typing as needed.
  • Strive to improve performance of usual tasks.
  • Assist other co-workers as necessary.
  • Review job description and inform supervisor of any necessary corrections or revisions.
  • Perform self-performance evaluations as required.
  • Observe all required safety rules and report any violations or unsafe practices or situations to supervisor or safety officer immediately.

Requirements
  • High school diploma, general education degree (GED), or 3 years related experience and/or training, or an equivalent combination of education and experience.
  • Must be able to type 50 WPM.
  • Must be familiar with MS Windows, Word, Excel, Outlook, Explorer, Visual Manufacturing and Visual Financial.
  • Must be familiar with operation of multi-line telephone system, fax machines, copy machines and printers.
  • Must be familiar with UPS shipping computer.
  • Must be familiar with overseas customs requirements for shipping.
  • Must have a basic understanding of tools.
